BIM and Information Management

Airey Miller delivers the project Information Management processes through all RIBA stages from concept to handover and in-use on behalf of our clients as “appointing parties”.

We use the RIBA plan of work stages and the principles of the UK BIM Framework to better articulate the information requirements in accordance with the ISO 19650 BIM standards. Airey Miller have recognised that “Better Information Management” is going to be key in delivering new build residential buildings in the new regulatory environments. Passing gateways with key building information will need to be tracked, monitored and recorded to align with the “Golden Thread of Information” which will be required by the new Building Safety Regulator for all ”in-scope buildings” over 18m in height as containment in the current Building Safety Bill.

The Fire Safety Act applies to all buildings regardless of height and the information requirements of these buildings, particularly around the external wall and internal passive and active fire and structural components. Clarity on as constructed information is going to be key in order to demonstrate that building owners and accountable / responsible persons have the necessary information to manage the building and for this information to be in an “agile” format post-handover to be easily referenced, maintainable and trackable.

Information management is the management and execution of tasks relating to the definition of information requirements (EIRs) as well as information production, checking and delivery. Efficient Information Management ensures that the right people have the right information at the right time enabling them to make the right decisions.  

Our Viewpoint for Projects “Common Data Environment” provides the collaborative platform where we are able to control the information workflow and generate the “Single Source of Truth” to ensure we track and monitor the design process and assign workflows to the relevant parties to ensure that the project team works together to drive the project forward. The CDE platform provides the clear change control process and information that is referenced by Hackitt and BRAC in their Golden Thread definition. We have developed templates and processes so that we can educate the project team and assist in the smooth delivery of BIM in accordance with the ISO international standards.

Project Examples

HIGGS ESTATE, Southwark, £43m | Peabody

 

Demolition of existing building and construction of four blocks ranging from 5 to 16 storeys in height to provide 134 residential units, and over 4000sqm retail floorspace with a podium area to the second floor and also a roof garden, car parking, cycle storage and other associated works.

 

Project objectives:

We are providing a multidisciplinary role on this exemplar scheme for BIM by Peabody intending to deliver the client’s vision of the Golden Thread of Information. We have been looking after the client’s BIM aims and influencing the design team and main contractor information managers to reinforce the importance of the client’s BIM strategy along with ensuring that the production of information is fulfilled by the project team in accordance with the BIM Protocol and the JCT D&B contract.

Information Management project outcomes:

  • Establishing ISO 19560 BIM processes in the pre-construction stage by providing the client access to Viewpoint for Projects as their chosen Common Data Environment to share and deliver information.

  • Managing the transition from the client’s CDE to the contractor’s CDE post-contract ensuring that seamless information exchange points and procedures are established together with a CDE protocol by the contractor outlining the information exchange process between the two CDEs.

  • Ensuring that post-contract BEP, MIDP and Key Responsibilities Matrix are being produced.

  • Liaising with Createmaster and ActivePlan to develop a soft-landing approach to ensure that the Asset Information Model and the handover information will be delivered as required by the EIR and AIR in a timely manner.

  • Working closely with Airey Miller’s Project Manager of the project to deliver the project successfully.

SOMERVILLE, Richmond, £4.5M | Richmond Housing Partnership

Development of 24 one-bedroom flats for independent living for people aged over 55 and suitable for couples living together, as well as a range of facilities including a large communal garden. The site is a redevelopment to allow the client to provide a model for Independent Living and Elderly Care to modern-day care standards. By utilising BIM, RHP wanted to trial the use of digital information in written and visual form to aid the design and construction processes.

 

Project objectives:

  • Multi-disciplinary design co-ordination: carry out sub-contractor design co-ordination using 3D BIM models on a regular basis.

  • Enhance project communication.

  • Reduce scope gap: use 3D models to understand and communicate sub-contractor scope.

  • Clash avoidance: utilising 3D BIM models developed progressively to avoid clashes and reduce risk.

  • Develop well-co-ordinated design documentation of 2D designs and schedules.

  • Asset Information Model: the use of BIM data and models for asset management.

Information Management project outcomes:

  • Viewpoint for Projects established as the Common Data Environment with appropriate workflows, naming convention, processes and protocols defined and deployed.

  • The well-functioning CDE enabled the project team and the client to establish better communication practices and more reliable information exchanges. Workflows deployed ensured the successful capturing of key design-related decisions and metadata.

  • Bi-weekly workshops have been held with the design team to ascertain that clashes were avoided and managed thus reducing construction risk.

  • The Information Manager is closely monitoring the collation of the O&M Manual and H&S File information ensuring that the final and complete handover data will be transferred to the client.

St. JOHN’S HILL, Clapham, £87M | Peabody

198 affordable homes and a community centre to be built by the end of 2022 at this 1930s estate opposite Clapham Junction station. The development features high-quality landscaping, a wild garden, a play area and a central public square for the community to enjoy. Around 10% of homes will be wheelchair accessible.

 

Project objectives:

Set out core business requirements; weigh up internal capabilities and appoint appropriate personnel to act as custodians of the client’s first steps towards BIM. Through a string of workshops an internal set of asset requirements were published as a starting point. All conventions adopted the PAS 1192 series and were later revised to incorporate ISO 19650. This piece of work led to two pilot projects being earmarked as suitable examples to trial all aspects of BIM.

Airey Miller were to assist with updating the Exchange Information Requirements and BIM protocol; during the tender process managed tender enquiries, procurement review and later appointment. Once in contract, our Information Manager worked with the client team to establish a co-ordinated and detailed BIM Execution Plan (BEP).

We hold regular reviews on behalf of the client where lessons learnt are tracked and fed back to the Peabody Information Management team.

Information Management project outcomes:

  • Adoption of ISO 19650 process within the Common Data Environment enabled effective communication between the project team members improving collaboration, project outcomes and the delivery of the EIR.

  • Established and managed information exchange protocols between the client’s CDE and the main contractor’s CDE.

  • Proactive monitoring of the delivery of asset information in the form of COBie data drops.

  • Checking that information exchange protocols are followed, and the project team’s communication is managed through RFI meetings and clash avoidance / detection workshops.

  • Monitoring the collation of handover information (As Built drawings, O&M Manuals, H&S Files and Fire Emergency Files) with Createmaster and working with ActivePlan to ensure that the Asset Information Model is delivered to Peabody.

PALLISER ROAD, Baron’s Court, £12M| Southern Housing Group

Redevelopment of the client’s site including demolition of existing building to create a five-storey built asset providing 36 affordable homes, including 9 new homes for local people and family sized homes for low-income households with 27 flats for shared ownership. The development will be car free, apart from two new wheelchair accessible car parking spaces.

Project objectives:

To provide Information Management assistance to the client to successfully implement BIM processes on the project in accordance with ISO 19560 series of standards to maintain the Golden Thread of Information. Drafting of schedules of services, BIM documentation including Exchange Information Requirements (EIR); BEP review and compliance check, capability assessment; providing asset information data organisation and supporting the implementation of the BIM protocol. Setting up the Common Data Environment (Dalux) to support the project and monitoring its use. Facilitating data drops at agreed stages in the process.

Information Management project outcomes:

  • Drafting and finalising of Exchange Information Requirements (EIR) documentation.

  • Setting up Dalux, the client’s chosen Common Data Environment and ensuring the design team use this collaboratively while offering continuous user training, support and troubleshooting to users in accordance with the CDE protocol and naming convention.

  • Clash detection process carried out twice to allow for clashes to be corrected.

  • Managing the successful implementation of Information Management processes according to ISO 19650.
